Job Title: Executive Assistant (EA) to CMD
Reporting To: Chairman & Managing Director (CMD)
Role Overview
The Executive Assistant (EA) to the CMD is a high-level support role responsible for managing the CMD’s schedule, communications, and critical business activities. The EA acts as a key liaison between the CMD and internal/external stakeholders, ensuring effective time management, documentation, follow-ups, and strategic support. This role demands exceptional communication skills, confidentiality, multitasking, and a proactive mindset to anticipate and address business needs.
Key Responsibilities
1. Calendar & Schedule Management
- Manage CMD’s daily schedule, appointments, and meetings with efficiency and accuracy.
- Coordinate internal and external meetings, ensuring agendas are prepared and time is optimized.
- Anticipate scheduling conflicts and propose suitable solutions.
2. Communication & Coordination
- Act as a point of contact between CMD and senior leadership, employees, and external parties.
- Draft, review, and respond to emails and business correspondence on behalf of CMD.
- Maintain professionalism and discretion in all communications.
3. Documentation & Reporting
- Prepare reports, presentations, meeting notes, and executive summaries.
- Ensure timely submission and follow-up of business reports and action items.
- Maintain organized records of key documents and communication.
4. Travel & Logistics
- Plan and coordinate national and international travel arrangements including flights, accommodation, visa and transport.
- Prepare detailed travel itineraries and handle all logistics.
5. Meeting Support & Follow-ups
- Attend key meetings with CMD as required; take notes and track action items.
- Ensure follow-ups and deliverables from meetings are completed by respective stakeholders.
- Assist in planning board meetings, leadership retreats, and key business events.
6. Stakeholder & Confidentiality Management
- Handle highly confidential information with utmost discretion and professionalism.
- Build strong working relationships with internal teams, clients, government bodies, and external partners.
7. Strategic & Administrative Support
- Assist CMD in strategic initiatives, project tracking, and high-level decision-making.
- Support CMD in preparing for key reviews, business pitches, and public engagements.
- Take initiative to improve processes and bring efficiency in CMD’s office operations.
Technical Skills Required
- Proficiency in MS Office Suite (Excel, PowerPoint, Word, Outlook)
- Knowledge of business correspondence, document formatting, and report writing
- Exposure to calendar management tools, online collaboration platforms (e.g., Zoom, Teams)
- Basic understanding of business functions and organizational protocols
Qualifications & Experience
- Education: Any graduate from a recognized university.
- Experience: Minimum 10 years of experience in executive support, preferably in a corporate or entrepreneurial environment. Prior experience supporting senior leadership or CMD/CEO is highly desirable.
