Job Title: Executive – Facility
Reporting To: Assistant Manager – Facility
Role Overview
The Executive – Facility is responsible for supporting daily facility operations to ensure the smooth functioning, cleanliness, safety, and maintenance of residential or commercial premises. The role involves assisting with vendor coordination, handling minor maintenance issues, maintaining facility records, and ensuring customer satisfaction. With 3 years of experience, the candidate should be proactive, organized, and capable of handling multiple operational tasks efficiently.
Key Responsibilities
1. Daily Facility Operations
- Monitor housekeeping, security, and technical services on a daily basis.
- Conduct routine checks to ensure upkeep of common areas, utilities, and infrastructure.
2. Maintenance Support
- Raise and follow up on maintenance requests for electrical, plumbing, and civil works.
- Coordinate with in-house technicians or service vendors to ensure timely issue resolution.
3. Vendor Coordination
- Liaise with external vendors for AMC services, pest control, waste disposal, etc.
- Ensure timely attendance of vendors and verify service completion.
4. Resident / Occupant Interaction
- Address facility-related queries and complaints from residents, tenants, or employees.
- Ensure prompt communication and satisfactory closure of issues.
5. Inventory & Supplies Management
- Maintain records of cleaning supplies, repair tools, and other consumables.
- Replenish stocks in coordination with the facility manager or procurement team.
6. Health, Safety & Compliance
- Ensure safety protocols, fire exits, emergency equipment, and hygiene standards are followed.
- Support in organizing fire drills, safety inspections, and regulatory checks.
7. Documentation & Reporting
- Maintain daily logs, checklists, vendor visit records, and maintenance history.
- Prepare basic reports on facility activities and share with reporting manager.
Technical Skills Required
- Basic understanding of building systems – electrical, plumbing, housekeeping, and HVAC.
- Familiarity with checklists, inspection formats, and incident reporting.
- Proficiency in MS Excel, Word, and basic facility management tools/software.
- Ability to coordinate with technicians and service vendors effectively.
Qualifications & Experience
- Education: Any Graduate (preferred background in hospitality, facilities, or property management).
- Experience: Minimum 3 years of experience in facility operations, hospitality, or real estate maintenance.
